Your pricing, your rules. Set up pricing lists, manage rates, and keep every quote consistent.

Why pricing lists matter

Your pricing list is the backbone of fast, consistent quoting. Once it's set up, you can pull items into any BOQ with a click — no re-typing prices, no guessing what you charged last time.

It also powers AI matching. When you extract line items from documents, AI checks them against your pricing list to auto-fill codes and rates. The more complete your list, the faster your quotes.

Uploading a pricing list

Go to Settings → Pricing Lists and upload your rates using our Excel template.

Each row in your spreadsheet needs:

Supported units

Quotably comes with the standard units you'd expect for trades work:

Need something specific to your business? You can add custom units in your organisation settings. Use whatever makes sense — "roll", "bag", "length", "pair" — it's your call.

Multiple pricing lists

You're not limited to one list. Create separate pricing lists for different job types, suppliers, or regions.

Toggle lists active or inactive depending on what you're quoting. Only active lists are used for AI matching and BOQ lookups.

Item codes & prefixes

Every item in your pricing list has a unique code. When you add custom items, Quotably auto-generates a code using your organisation's prefix.

For example, if your prefix is ACME, new items get codes like ACME-0001, ACME-0002, and so on. You can customise the prefix in Settings.

Keeping pricing up to date

Prices change. Re-upload your pricing list anytime to update rates across the board. You can also edit individual items directly in the app.

Tip: Keep your distributor info up to date so you can quickly check current supplier prices when putting together a quote.
